Receptionist & Executive Assistant

(Barcelona, Spain)

We are looking for a new colleague to join our team and help us provide the best possible service to our clients. As a Receptionist & Executive Assistant, you will play a critical role in the overall support and management assistance, working to make visitors feel welcomed, provide administrative support and expense reporting, maintain a clean and safe reception and assist the CEO.

 

We are looking for an autonomous, passionate, organized candidate with great communication skills who will be responsible for a variety of administrative and office tasks and support our company’s CEO. The ideal candidate must have a passion to learn new things and succeed in a dynamic environment.

TrafficStars is a powerful, self-serve Ad Network and Ad Exchange, buying and selling worldwide traffic with OpenRTB protocol capabilities. TrafficStars serves more than 2 billion ad impressions per day and is home to over 40 members of staff based in offices in Cyprus, Barcelona and Montreal.

Your responsibilities

  • Prepare meeting rooms for visits and welcome visitors.
  • Help with travel and accommodation arrangements, prepare reports, set meeting agenda and fill and organize documents.
  • Provide general administrative support and expense reporting.
  • Offer support with event organisation and planning (e.g. offsites, team meetings, company events).
  • Maintain a safe and clean reception area by complying with procedures, rules and regulations.
  • Maintain an adequate inventory of office supplies and equipment.
  • Assist the CEO of the company.
  • Manage information flow in a timely and accurate manner.

Requirements

  • Excellent English and Spanish in both written and verbal communication (any additional language will be highly valued)
  • Proactive and enthusiastic with excellent communication skills
  • Calm individual who can operate under pressure, deadlines, and the demands of a busy office environment
  • Innovative, with attention to detail and great interpersonal skills
  • High level in Microsoft Office and Google applications including Word, Excel, Outlook and Calendar
  • Discretion and confidentiality
  • The ability to work autonomously
